Client files stay on your computers
Organizing, duplicate detection, search and encryption all run on the computer itself. VaultSort never uploads your documents, and there is no account or cloud storage to sign up for.

Encrypt files and folders with AES-256, unlock with Touch ID or a YubiKey, redact PDFs properly before they’re sent, and delete files with the method that suits the drive they’re on.

Straight answers
Do our files ever leave our computers?
No. VaultSort reads, sorts, scans and encrypts files on the computer they’re on. The app does send anonymous usage data — which features are used and error reports, with file names removed — and you can turn that off in Settings; a minimal heartbeat with only the app version and a random device ID remains. Optional AI features run on the computer or through an AI provider you connect yourself; nothing goes to a cloud AI unless you set one up.
Privacy policyIs deleted data guaranteed to be unrecoverable?
On a hard drive, overwriting a file works and VaultSort does it. On an SSD — which is most modern computers — no software can guarantee a single deleted file is gone, because the drive decides where data really lives. VaultSort tells you what it can and can’t guarantee for the drive you’re using. For SSDs, the dependable protection is encrypting sensitive files before they’re stored.
Does VaultSort make us compliant with HIPAA, GDPR or similar?
No software does that on its own, and VaultSort holds no certifications. It gives you tools — local processing, encryption, redaction, secure deletion — that can support your own policies. Your compliance obligations stay yours.
What if someone loses their YubiKey, or leaves the firm?
A Vault can have a recovery code as well as YubiKeys and Touch ID, and VaultSort warns you before you create one without a backup way in. Keep the recovery code with the firm, not with the employee: whoever holds it can open the Vault. There is no master key held by us and no central key escrow yet, so if every way into a Vault is lost, nobody — including us — can recover its files.
Is there a central admin console?
Not yet. Each computer is activated with your plan’s key; to see which computers hold a seat, or to free one on a computer you no longer have, email us. Organization jobs can be exported and imported to give everyone the same setup. If you need central management, tell us what you need — that is what decides what we build next.
What happens if we don’t renew?
Each computer goes back to the free version of VaultSort. Nothing is deleted or locked away: your files stay where they are, and anything you encrypted can still be opened.
Can we try it first?
Yes. Install the free version on any computer — several Premium features include free uses so you can try them on your own files. If a plan isn’t right, you can ask for a refund within 30 days of buying or renewing.
