Where client information escapes

Black boxes that hide nothing

A rectangle drawn over a PDF covers the text on screen and leaves it in the file. Copy and paste it out, and the redaction was never there. It is one of the most common confidentiality failures in practice.

Matter files outside the system

Discovery, correspondence and client scans arrive by email and land in Downloads. They never make it into the DMS, and nobody knows they are there until a laptop is lost.

Closed matters that never close

Retention periods end; the files do not. Emptying the Trash removes the name, not necessarily the contents, and a recovered client file is a problem years after the matter ended.

Sending more than you meant to

Email attachments travel in the clear and live in every inbox they pass through. A document with a client’s details in it should arrive locked.

Keep working files for open matters in a Vault encrypted with AES-256. Open it with Touch ID, Windows Hello or a YubiKey; it locks itself on idle and sleep. A recovery code held by the firm is the way back in if a key is lost.

Filing by client and matter

Build rules on file names, matter numbers or the text inside a document, and VaultSort moves new files from Downloads into client folders on a schedule. Export the rule and import it on a colleague’s computer.

Send securely

Send a document as a password-protected PDF or a secure page that opens in any browser, with no account and nothing to install on the client’s side. The password goes by another route.

Proper disposal of closed matters

When retention ends, delete files with the method that works on the drive they are on. VaultSort tells you what that method can and cannot guarantee.

Nothing leaves your computer

Redaction, encryption, filing and deletion all run locally. VaultSort never uploads documents and has no cloud storage to trust.

  • — On an SSD — most modern laptops — no software can guarantee a single deleted file is gone. Use FileVault or BitLocker, and keep sensitive matter files encrypted.
  • — If every way into a Vault is lost, nobody can recover its files, including us. Keep the recovery code with the firm.

Questions people ask

Is the redacted text really gone?

Yes. It is removed from the page content, not covered, along with the font data that could rebuild it, document metadata, form fields and comments. Each redaction is verified independently before the file is saved.

Does it work on scanned documents and Word files?

Yes. Scans are read with on-device text recognition so you can find and redact text in them, and Word (.docx) documents are redacted directly.

Do our documents go to a server?

No. Everything runs on the computer. The app sends anonymous usage data, which you can turn off in Settings; documents are never sent.

We’re a firm. How do we license several computers?

Business plans cover 5 to 50 computers with one licence key, company invoicing and priority support. A personal licence is for one person on their own computers.
