Encryption your firm can always recover
YubiKey encryption is only safe for a firm if a lost key, or a departure, can’t lock the firm out of its own files. With Organization Recovery, your team’s Vaults and the files they encrypt with a security key can also be opened with your firm’s key, held by you, not by us, and with no server in between.

- Each computer joins with the firm’s policy file. From then on, what it encrypts gets one more lock that only the firm’s key opens.
- When a key is lost or someone leaves, the recovery console opens their files and Vaults, and keeps a record of each recovery.

Straight answers
Does VaultSort replace our document management system?
No, and it isn’t trying to. Shared repositories, document versioning, access controls and workflows belong in your document management or practice-management system. VaultSort looks after the files on each computer that never make it into those systems.
Do our files ever leave our computers?
No. VaultSort reads, sorts, scans and encrypts files on the computer they’re on. The app does send anonymous usage data — which features are used and error reports, with file names removed — and you can turn that off in Settings; a minimal heartbeat with only the app version and a random device ID remains. Optional AI features run on the computer or through an AI provider you connect yourself; nothing goes to a cloud AI unless you set one up.
Privacy policyIs deleted data guaranteed to be unrecoverable?
On a hard drive, overwriting a file works and VaultSort does it. On an SSD — which is most modern computers — no software can guarantee a single deleted file is gone, because the drive decides where data really lives. VaultSort tells you what it can and can’t guarantee for the drive you’re using. For SSDs, the dependable protection is encrypting sensitive files before they’re stored.
Does VaultSort make us compliant with HIPAA, GDPR or similar?
No software does that on its own, and VaultSort holds no certifications. It gives you tools — local processing, encryption, redaction, secure deletion — that can support your own policies. Your compliance obligations stay yours.
What if someone loses their YubiKey, or leaves the firm?
With Organization Recovery, the firm can still open what they encrypted: every computer that has joined adds a lock only the firm’s own key opens. That key is created and held by your administrator, behind their YubiKey and a printed recovery sheet. We hold no copy, and there is no server. It covers Vaults, however they’re unlocked, and files encrypted with a security key; individual files encrypted with a password aren’t covered, and your administrator can turn password encryption off on staff computers.
How Organization Recovery worksCan VaultSort, or anyone else, use that key to read our files?
No. The organization key never leaves your administrator’s computer except as a sealed backup you save yourself. If your firm loses its YubiKeys and the recovery sheet, nobody, including us, can open what only that key opens.
Is there a central admin console?
Not yet. Each computer is activated with your plan’s key; to see which computers hold a seat, or to free one on a computer you no longer have, email us. Organization jobs can be exported and imported to give everyone the same setup. If you need central management, tell us what you need — that is what decides what we build next.
What happens if we don’t renew?
Each computer goes back to the free version of VaultSort. Nothing is deleted or locked away: your files stay where they are, and anything you encrypted can still be opened.
Can we try it first?
Yes. Every Business plan starts with a 30-day free trial with full Premium on every computer, and you can cancel before it ends without being charged. You can also install the free version on any computer. After the trial, a refund is available within 30 days of a payment.
